Description



Note: Effective June 15, 2018, the salary range for classification Oregon Judicial Department Judicial Services Specialist 2 will be $2,565.00 - $4,176.00.


This is a File Viewing Room Clerk position with with the Deschutes County Circuit Court.


The purpose of this position is to interact with the public and play an essential role in maintaining the public's trust and confidence in the judicial system.



Duties & Responsibilities



Typical job duties may include, but are not limited to, the tasks listed below. Assigned tasks may be changed to accommodate workload and organizational needs.


File viewing Room



+ Prepare copies and certify as necessary or requested

+ Manage the file viewing room window

+ Order archived and current case files via electronic ordering screen

+ Take payment for copies

+ Monitor patrons viewing files

+ Retrieve files from the file room

+ Move files between the dumb waiter and file viewing room

+ Make file copies and scans

+ Email documents to patrons when scanned files are requested

+ Certify copied documents

+ Answer general inquiries from the public

+ Identify when patrons are looking for audio or transcript requests and provide the proper request forms

+ Follow procedures for providing confidential copies to appropriate patrons (juvenile/adoption)

+ Release exhibits to appropriate parties following written guidelines















Working Conditions

This is a full time position and the work schedule is currently 8:00 a.m. to 5:00 p.m., Monday through Friday. It is eligible for overtime compensation for hours worked in excess of 40 per work week.


Occasional after-hours work may be required.


Frequent phone and in-person contact with the public and customers who are at times angry, hostile, confused, or frustrated.


Frequent phone and in-person contact with people from diverse backgrounds.


Fast-paced, high-production professional environment with multiple deadlines daily, including a heavy volume of data entry and customer service requiring detail orientation, a team work philosophy, and multi-tasking ability.


Lifting up to 25 lbs. of office materials or equipment may be required.


Daily use of the following office equipment: telephone, personal computer, copy machine, fax machine, scanner, and digital recording equipment.


Long periods of sitting and standing are required.



Qualifications, Required & Requested Skills




Minimum Qualifications

The qualified candidate must have at least one year of responsible, clerical experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.

AND

Possession of a high school diploma or GED, or equivalent life or work experience.

OR

Any combination of education and experience equivalent to two (2) years that typically supports the knowledge, skills, and abilities for this position.

Requested Skills and Attributes




+ Experience working for the Oregon Judicial Department.

+ Experience working for another court, or other legal environment.

+ Experience working effectively in a fast-paced, high-production business or professional environment.

+ Experience using a computer to access and input information, perform research, and complete a variety of tasks.

+ Experience explaining complex rules, policies, procedures, or processes to individuals who have difficulty understanding.

+ Skill handling money and verifying/reconciling cash drawers.

Salary

The Judicial Department's practice is to begin employees at the first pay step. However, a higher starting pay rate may be considered depending upon the applicant's education and experience.
